Using the Microsoft Dynamics Integration

In this article, you will learn how to use contact lists from Microsoft Dynamics in Momice via Spotler Connect to invite attendees.

You will learn how to create a list in Dynamics, import it into Momice, send invitations, and then view registration and attendance activities in Dynamics. We also explain how to create new lists or reports based on these activities, for example for post-event follow-ups.

1. Create your list in Dynamics

  • Contact lists in Dynamics can be static or dynamic.

  • Target audiences can consist of contacts or leads.

  • For the integration, “Sync to Spotler” must be enabled.

  • After saving, members can be added to the list.

  • The list will then automatically synchronize with Spotler Connect (this may take a few minutes).

  • Once the list is created and saved with “Sync to Spotler = Yes”, it is automatically synchronized with Spotler Connect

  • The added list is then available for use in Spotler.

2. Select the list in Momice

  • Contact lists from Dynamics can be imported into Momice via Spotler Connect.

  • During import, multiple lists can be combined.

  • A preview is shown in advance with the total number of contacts.

  • After completing the import, the imported lists and invitees can be checked immediately.

3. Send invitations

  • Emails can be sent directly from Momice.

  • Invitees register via the “Registration link” in the email.

  • After registration, the activity “Will attend event” is created.

  • Attendees will trigger the activity “Has attended event”.

4. View activities in Dynamics

  • Momice creates event activities when contacts register and attend an event.

  • These activities are synchronized to Dynamics 365 via Spotler Connect.

  • The activities include:

    • Will attend event

    • Has attended event

  • Activities are linked to contacts, not to contact lists or campaigns.

  • To view them: open the contact in Dynamics and check “Spotler Digital Activities”.

Where can I find the activities in Dynamics?

1. Open the Contact Record

  • Log in to Dynamics 365.

  • Search for and open the relevant contact.

2. View Spotler Digital Activities

  • Within the contact record, go to “Related”.

  • Select “Spotler Digital Activities”.

3. Open an activity

  • Click on an activity to view the details.

  • You will see two activities:

    • Will attend an event

    • Has attended an event

5. Create a new list in Dynamics based on event registrations or attendance

Use this to create a new list for follow-ups or to invite contacts to a next event.

  • Create a dynamic contact list in Dynamics.

  • Set “Sync to Spotler” to Yes for the integration.

  • After saving, members can be added to the list.

    • Click “Manage Members” in the top right.

    • In the filter window, choose “Add related entity” twice.

      • First time: Spotler Digital Activity = Will attend event

      • Second time: The name of the contact list you used for the initial invitation.

  • The list will then automatically synchronize with Spotler Connect (this may take a few minutes).

6. Create a report based on digital activities

Example: a report of which contacts registered for an event.

  • Go to the Tools section on the left and search for “Reports”.

  • Click “New Report” and select “Report Wizard”. Follow the steps:

    • Choose to start a new report.

    • Select as primary record type: Spotler Digital Activities.

    • In the next step, choose: Use Saved View → Active Spotler Activities.

    • Segment by type: Will attend event.

    • Choose which columns you want to display in your report.

Using a registration form in Momice

This section explains how contacts created via Momice registration forms are processed in Spotler Connect and Dynamics 365, and how related activities are stored.

1. Registration in Momice

  • When a participant registers for an event via a Momice registration form, Momice checks whether the contact already exists.

2. Adding the contact in Spotler Connect

  • If the contact does not yet exist:

    • A new contact is automatically created in Spotler Connect.

3. Adding the contact in Dynamics 365

  • If the Dynamics 365 configuration allows contact creation:

    • The contact created in Spotler Connect will also be created in Dynamics 365.

  • This depends on the Dynamics settings and the permissions defined in the integration.

Activity synchronization

  • Once the contact exists in Dynamics 365:

    • All related event activities:

      • Will attend an event

      • Has attended an event

    • are synchronized and linked to the contact record.

Registrations can automatically create new contacts.

  • Contacts are always created in Spotler Connect.

  • Contacts are only created in Dynamics 365 if the configuration allows it.

  • Event activities are synchronized and visible on the contact record.

What is not included

Form fields are not included in the digital activity.

  • By default, only the name, email, and organization from the registration are sent to Dynamics. Form fields such as dietary preferences are not included.
