This article explains how to set up your check-in desk, log in to the Momice Check-in app, and connect a Zebra label printer. You will also find the most common error messages and solutions below.
1. Set up the check-in desk
Follow these steps to prepare the check-in desk.
Step 1: Position the desk correctly
Place the desk horizontally, not lengthwise.
Step 2: Choose your check-in method
Decide in advance which check-in method you want to use:
Manual check-in with a smartphone or tablet by a host(ess)
Self check-in with an iPad on a stand
Step 3: Install the iPad(s) if needed
Place the tablet in the holder:
Slide the grip on the back of the tablet over the oval clamp on the holder.
Press in the silver pin on the back of the holder.
The tablet is now secured in the holder.
Use the supplied key to unlock the holder again. This key fits every holder.
Step 4: Activate self check-in
Are you using Self check-in? If so, enable Contactless in the start menu of the Check-in app.
Visitors can then scan their e-ticket themselves using the front camera of the iPad.
Step 5: Place signage
Place signage if available. This helps visitors move through the check-in process more quickly.
Step 6: Prepare badges and lanyards
Hang badges and lanyards on a stand or coat rack, or place them neatly on the desk.
2. Log in to the Momice Check-in app
Open the Momice Check-in app on the smartphone or tablet you want to use.
Log in with the login code.
You can find the login code in Momice via: Ticket Module > Check-in > Activate Check-in app.
Please note
Are you seeing the message ‘Error while logging in, no valid signature’? If so, the date and time settings on your device are probably incorrect.
Check the date and time on the device and adjust them if needed.
Tip
In the Ticket Module, under the Check-in tab, you can set labels to be printed twice per guest. This is useful if you need one label for the front and one for the back of a badge.
3. Insert the label roll
Insert the label roll into the printer as follows:
Remove the roll of labels from the sticker peeler.
Pull the yellow brackets apart and remove the old roll.
Place the new roll between the yellow brackets.
Insert the end of the label sheet into the sticker peeler.
Check that the roll runs underneath the yellow guides.
4. Connect the printer
As soon as you are logged in to the Check-in app, the app will automatically try to connect via Bluetooth to the nearest Zebra label printer.
How to check whether the printer is connected
Open the start screen of the Check-in app.
Look under "Connected Printers".
Check whether the correct printer name is shown.
Check whether there is a green check mark next to the printer.
The printer code consists of 12 characters and can be found on the sticker on the bottom of the printer.
Please note
A printer can only be connected to one device at a time.
Are you using multiple printers during on-site registration? Then connect printers and devices one by one. This ensures you know exactly which device is connected to which printer.
If you enable Bluetooth on multiple devices at the same time, they will automatically connect to the nearest available printer. You cannot control this.
5. Test the check-in
Always test in advance to make sure everything works properly.
Register yourself or a colleague for the event.
Search for this person manually in the Check-in app.
Press "Print label and check in".
Please note
If you test in advance by scanning a QR code or manually marking someone as present, the app may show a warning. This happens because the check-in is not taking place on the actual event date.
This warning will not appear during the event itself.
6. Troubleshooting
Below you will find solutions for the most common issues.
Printer does not appear in ‘Connected Printers’
This usually means that the printer is already connected to another device. Follow these steps:
Turn off the printer.
Turn the printer back on.
On the start screen of the Check-in app, click on "Select printer".
Choose the correct printer.
Check whether a green check mark appears.
You can find the 12-character printer code on the sticker on the bottom of the printer.
I want to connect to a different printer
On the start screen of the Check-in app, go to "Connected Printers".
Click on "Change printer".
Select the printer you want from the list.
Check whether a green check mark appears next to the printer name.
You can find the 12-character printer code on the sticker on the bottom of the printer.
Please note
A printer will not appear in the list if it is already connected to another device.
The text on the label is not aligned properly
First, try printing a few labels. The Zebra printer usually recognizes the labels automatically and aligns them correctly afterwards.
Is the alignment still incorrect after printing 2 or 3 labels? Then follow these steps:
Check whether the yellow sensor is positioned in the center of the printer.
Press the two outer buttons: the button with the pause symbol and the button with the cross.
Hold these buttons until the printer starts aligning the labels.
Wait until the printer has finished.
The labels should now print neatly in the center again.
My guests are not marked as present after I print a label
When you open a guest in the app, you have two options to print a label:
Click the button: Print label and check in
Use the toggle at the top
The difference is important:
"Print label only" prints the label
The top toggle marks the guest as present and immediately prints the label
Use "Print label only" if, for example, you want to print labels in advance for the organization or speakers.
Use the toggle when you are actually checking in guests manually.
Please note
If you only print a label via "Print label only", the guest is not marked as present yet.
You can also find this same toggle next to the name in the search menu. This allows you to check in a guest even faster and print the label immediately.
I get an error message during check-in
Invalid Check-in
This message means that the ticket is not valid yet. In Momice, check:
Ticket Module > Entry Tickets > open your entry ticket via the pencil icon > Advanced.
Check the following there:
Time slot for scanning tickets
Is a printer connected? Then the label will still be printed, so you can decide yourself whether to issue a badge.
Please note:
With an Invalid Check-in, the guest is not yet marked as present.
Once the settings have been adjusted, you can manually mark the guest as present using the green toggle.
Duplicate Check-in
This message means that the QR code has already been scanned before. The person has already been checked in.
In this case as well, the label will still be printed so you can decide whether to issue a badge.
QR code not valid
This message means that the guest is not yet marked as registered in the Registration Module. Follow these steps:
Go to the Registration Module.
Open the guest’s registration using the pencil icon.
Check "Registered".
Save the change.
Does this apply to an entire list? Then select the correct list and click Mark guests as registered. After that, scan the QR code again.
You can also look up the guest manually in the Check-in app and mark them as present there.
Please note: The QR code will only work correctly in the Check-in app once the guest has been marked as registered in the Registration Module.
