Are you using the Momice Check-in app to print badge labels? Make sure you have enough printers to check in attendees quickly and prevent lines at the entrance.
As a guideline, you can expect to process 100 to 150 attendees per printer per hour. The number of printers you need depends on the expected number of attendees and the time available for check-in.
Calculate how many printers you need
To determine the number of printers, divide the expected number of attendees by the number of attendees one printer can process during the available check-in period.
Below are two examples.
Example 1: 500 attendees with a 1-hour check-in period
One printer can print badge labels for an average of 100 to 150 attendees per hour.
At 100 attendees per printer: 500 ÷ 100 = 5 printers.
At 150 attendees per printer: 500 ÷ 150 = 3.3, rounded up to 4 printers.
You will need 4 to 5 printers. We recommend planning for 5 printers to ensure sufficient capacity if the processing speed is lower.
Example 2: 500 attendees with a 30-minute check-in period
With a 30-minute check-in period, one printer can print badge labels for an average of 50 to 75 attendees.
At 50 attendees per printer: 500 ÷ 50 = 10 printers.
At 75 attendees per printer: 500 ÷ 75 = 6.7, rounded up to 7 printers.
You will need 7 to 10 printers. We recommend planning for 10 printers.
What else should you consider?
The speed of the check-in process depends on more than just the number of printers. Scanning QR codes, printing and attaching badge labels, and the number of available staff members also affect how quickly attendees can move through the check-in process.
Please note: These examples assume that attendees arrive throughout the check-in period. If you expect many attendees to arrive at the same time, plan for additional capacity to minimize lines.
Tip: set up a separate help desk
Are you expecting more than 150 attendees, or can attendees also register on-site? Consider setting up a separate help desk.
Attendees can visit the help desk if they:
Cannot find their e-ticket or QR code.
Have incorrect registration details.
Still need to register on-site.
This keeps the regular scanning stations available for checking in attendees and helps prevent unnecessary delays at the entrance.
