Prevent emails from going to spam

Prevent Momice emails from ending up in spam with tips for whitelisting and email settings.

Sometimes emails sent through Momice may end up in the spam folder.

There are several things you can do to help prevent this:

  • Mark Momice as a safe sender in Outlook or Gmail.

  • Ask your IT department to whitelist Momice.

  • Connect your own sending domain to Momice to improve email deliverability.

  • Review the content of your emails if external recipients are experiencing issues.

Below, we explain the different options.

Add Momice as a safe sender

Are Momice emails ending up in your spam folder? Add [email protected] as a safe or trusted sender in your email program.

Outlook

  1. Open Outlook.

  2. Click the gear icon in the top-right corner.

  3. Click View all Outlook settings.

  4. Go to Junk email.

  5. Find Safe senders and domains.

  6. Click Add.

Gmail

Has a Momice email already ended up in your spam folder?

  1. Open Gmail.

  2. Go to the Spam folder.

  3. Open or select the email.

  4. Select Not spam.

Gmail will move the email to your inbox. This also helps Gmail recognize that messages from this sender are safe.

Whitelist Momice within your organization

Are Momice emails ending up in the spam folder for multiple colleagues? Ask your IT department to whitelist Momice.

By adding Momice to your organization’s list of allowed senders, you reduce the chance of emails being marked as spam.

Send the following information to your IT department:

Please note: The exact way Momice needs to be whitelisted depends on your organization’s email environment. Your IT department can determine which settings are required.

Set up a custom sending domain with DKIM, SPF, and DMARC

For the best email deliverability, you can connect your own sending domain to Momice.

Emails are then sent from your own domain, for example [email protected], instead of the standard Momice domain. This helps receiving mail servers recognize that Momice is authorized to send emails on behalf of your organization.

This can reduce the chance of your emails being marked as spam.

To set up a custom sending domain, contact [email protected]. The Momice team will provide the DNS records your IT department needs to add to your domain settings.

What does your IT department need to configure?

Your IT department will need to configure the following DNS records:

  • SPF record: authorizes Momice to send emails on behalf of your domain.

  • DKIM record: adds a digital signature so receiving mail servers can verify that the email is legitimate.

  • DMARC record: tells receiving mail servers what to do with emails that fail SPF or DKIM checks.

Emails to external recipients end up in the spam folder

Do emails mainly end up in the spam folder of external recipients? In that case, you have less control over the settings of the receiving mail server.

Every organization uses its own spam filters and security rules. This means an email may be delivered successfully to one recipient while being marked as spam for another.

You can still review the content of your email.

For example:

  • avoid overly promotional wording;

  • avoid using too many special characters such as !, $, €, &, or %;

  • use a clear and recognizable subject line;

  • be careful with subject lines or sender names that make the message appear to come directly from a board member or member of senior management.

Some security filters are particularly strict with messages that may look like phishing emails or unsolicited advertising.

Is an email not being delivered?

You can find the delivery status of an email via: Mail Module → Sent → statistics icon.
