Creating a salutation in an email

Learn how to personalize your email by composing the salutation here.

Would you like to use a personal salutation in your email, such as Ms. Jansen or Mr. De Vries? In Momice, you can create a salutation based on your invitees’ details.

In this article, you will learn:

Before you begin

To import gender or salutation, the language setting must be set to formal.

Please note: without this language setting, you cannot correctly import gender for use in the salutation.

Step 1: Set the language setting to formal

  1. Go to the Settings Module.

  2. Click "Basic".

  3. Scroll down to "Language".

  4. Change the language setting to formal.

Step 2: Add gender or salutation to your import file

  1. Go to the Registration Module.

  2. Click "Add invitees" and choose "Import list".

  3. Then choose one of these options:

    • download the Excel template

    • use your own Excel file

  4. In your Excel file, add an extra column called:

    • Gender, or

    • Salutation

  5. In this column, enter the correct value:

    • 0 for women (salutation: Ms.)

    • 1 for men (salutation: Mr.)

Step 3: Create the salutation in the Mail Module

  1. Go to your draft email in the Mail Module.

  2. Click "Compose salutation" above the editor.

  3. Select the parts you want to include in the salutation.

  4. Click "Save".

  5. Then arrange the parts in the correct order by dragging them.

  6. Choose whether the name prefix should start with a capital or lowercase letter.

  7. Click "Save" again.

Momice will immediately show a random example from the registration overview.

Step 4: Add the greeting yourself

Add the greeting you want, such as Dear, Hello, or another option, manually in the email.

Then insert the personal salutation as a fixed element:

  1. Open your text field using the pencil icon.

  2. Choose "Salutation".

Step 5: Save and test your email

  1. Click "Save" at the bottom.

  2. Then click "Test and send".

  3. Preview the email or send a test email.

Extra spaces in the salutation are removed automatically.

Testing the salutation with a specific invitee

The salutation in the email depends on the invitee’s language. That is why it is best to test with a specific person.

  1. Click "Select invitees from list".

  2. Select yourself or a colleague as the test person.

  3. Make sure exactly 1 invitee is selected.

Momice will then use this person as the test registration for the email preview.

Communication when gender is unknown

In the Registration Module, the following gender options are available:

  • Not specified

  • Male

  • Female

When creating a mailing or formal invitation, this can affect which salutation is appropriate.

Formal communication

For formal communication, it is better not to use a salutation such as Dear Sir/Madam when the gender is unknown.

Instead, choose a safe and personal greeting using the first name, for example: Dear Eva,

This approach avoids awkward situations and still feels professional.

Informal communication

For informal communication, you can choose a more approachable greeting, such as:

  • Hello

  • Hi

  • Hello Eva

This feels personal and fits well with an inclusive tone.

Tip: Ask how someone prefers to be addressed

Would you also like to take non-binary participants or personal preferences into account? Then add a closed question to the registration form asking how someone prefers to be addressed. You can then use this information later in your email communication.
