In the Mail Module, you decide which invitees receive your email. You can select an entire list or combine filters to create a specific target audience.
When scheduling an email, you can choose between a static or dynamic selection.
Static or dynamic selection
The difference is when Momice determines who will receive the email.
Static
The recipient list is fixed at the moment you schedule the email. Any changes made afterwards will not affect this send.
Dynamic
At the moment the email is sent, Momice checks again which invitees match the filters you selected. This means the final recipient list may change between scheduling and sending the email.
This is useful, for example, when invitees can still register, cancel, or update their details after the email has been scheduled.
Example: You schedule an email on Monday for all registered Dutch-speaking attendees. The email will be sent on Friday. If you choose a dynamic selection, Momice checks again on Friday which invitees match these criteria at that moment.
Tip: Use a dynamic selection when your target audience may change before the email is sent.
Select invitees
Before you start, make sure you have imported one or more lists in the Registration Module.
Open the Mail Module.
Open your draft email using the pencil icon.
Click "Select invitees from list".
Select the list with the invitees you want to use.
Optionally, choose one or more filters.
Use the search bar if you want to find a specific invitee.
Want to exclude an invitee? Clear the checkbox next to their name.
Check the total number of selected invitees.
Close the window.
Click "Test and send".
Test, schedule, or send your email.
Find out how to send a test email.
When you reopen a draft later, Momice restores your previously selected invitees and the filters you used. You do not need to rebuild your selection.
Show selected invitees only
Do you only want to view the invitees you have already selected?
First, apply the filters you want to use.
Turn on "View selected only".
The list now shows only the selected invitees.
Use the search bar to find a specific person within this selection.
Tip: This is useful when you have selected a large audience and want to quickly check whether a specific invitee is included.
Send your email
Before you can send an email, you need to confirm that you have completed all checks.
Check the content, settings, and recipients of your email.
Scroll down on the page.
Select "I have checked and completed all of the above".
The "Yes, send" button will now become available.
Click "Yes, send" to send the email.
Please note: You cannot send the email until you select this confirmation.
Filter invitees
You can filter by:
list
language
status
workshop questions or closed questions
entry ticket
You can combine multiple filters to create a specific target audience.
For example, you can select invitees from a specific list who have Dutch set as their language and have registered for the event.
View the current selection
Momice shows which invitees currently match your selected filters.
If an invitee's details change, the selection is updated based on the criteria you selected.
Please note: For a scheduled dynamic email, the final recipient list may continue to change until the moment the email is sent.
Clear filters
Want to start over? Click "Clear filters" to remove the filters you selected.
Please note: Your selection and filters are saved when you close the window. Always check which filters are active before scheduling or sending an email.
Filter by status
You can choose from options including:
Invitees
No response
Registered
Present
Absent
All
No one — this clears your current selection
Filter by list
Under "Select lists", you can choose a list that you previously imported in the Registration Module.
You can combine a list with other filters, such as language, status, workshop questions, or entry tickets.
Filter by language
Under "Select languages", you can select invitees based on their language preference.
You can combine this filter with other criteria to refine your target audience further.
Filter using Select filter
Under "Select filter", you can filter by options including:
workshop questions
closed single-choice questions
closed multiple-choice questions
You can combine these filters with, for example, a list, language, or status. Momice shows how many people match the selected criteria.
Filter using Select ticket
Want to filter by entry ticket? Use the separate "Select ticket" option.
Click "Select ticket".
Choose the desired entry ticket.
If needed, combine this selection with other filters, such as list, language, or status.
This allows you to refine your target audience based on the selected entry ticket.
Select invitees from multiple lists
You cannot open multiple lists at the same time. However, you can add invitees from different lists to the same mailing list.
Select the first list.
Apply the desired filters.
Check the selected invitees.
Select the next list.
Apply the desired filters again.
Check the total number of selected invitees.
Tip: Work through the lists one at a time. This makes it easier to keep track of your selection.
Unsubscribed invitees
When an invitee unsubscribes from your event, you can no longer use their email address for future emails about the same event.
Momice therefore automatically removes unsubscribed invitees from the invitee list in the Mail Module.
You can still find these people in the registration overview with the status "Cancelled".
Please note: Unsubscribed invitees cannot be selected again in the Mail Module for emails about this event.
Check scheduled and sent emails
In the "Sent items" folder, you can see whether an email uses a static or dynamic selection.
You can also clearly see the difference between:
emails that have already been sent
emails that are scheduled
For a scheduled email, you can see the scheduled send date and time. Scheduled emails are sent at the selected local time.
Check the filters for a dynamic send
Want to check which filters are set for a dynamic send?
Click the clock icon next to the email.
Scroll down.
Click "See full attended list".
Here you can see which filters are set and which invitees currently match these criteria.
Tip: For a scheduled dynamic send, always check the selected filters again. The recipient list itself may continue to change until the moment the email is sent.
View the selected filters for a sent email
Want to check afterwards which filters you used for a sent email?
Open the "Sent items" folder.
Click the statistics icon next to the sent email.
Scroll down on the page.
View the filters that were used for this send.
This allows you to see which filters were selected for that email at any time.
Cancel a scheduled email
Open the "Sent items" folder.
Find the scheduled email.
Click the clock icon.
Cancel the scheduled send.
Duplicate an email
You can duplicate a scheduled or sent email.
