You can send an email immediately or schedule it for a future date and time.
Schedule an email
Prepare your email for sending.
Check the subject, sender, and number of recipients.
Under Sending date, select "Different date".
Select the desired date and time.
Check which time zone will be used for sending.
If needed, choose whether recipients should be updated automatically if the list changes before the email is sent.
Click Yes, send.
The email is now scheduled for sending.
Please note: Once you schedule the email, it will no longer appear in your drafts. You can find the scheduled email under Sent items.
Which time zone is used?
When scheduling the email, you can see which time zone will be used.
A time zone is set for the event
The scheduled email will be sent according to the event’s time zone.
For example, you may see: Scheduled emails for this event are sent in the event’s time zone (Europe/London).
For example, if you select 12:00 PM, the email will be sent at 12:00 PM in the time zone set for the event.
No time zone is set for the event
If no time zone is set for the event, the scheduled email will be sent according to Amsterdam time.
You will see: No time zone is set for this event, so scheduled emails are sent in Amsterdam time (CET/CEST).
Please note: Check the time zone before scheduling the email, especially if your event or recipients are in a different time zone.
Automatically update recipients
For a scheduled email, you can enable the option "Automatically update recipients if the list changes before sending".
If you enable this option, the recipient list will be updated again before the scheduled send time.
This is useful, for example, when scheduling an email for the No response group. If this group changes before the scheduled send time, the current recipient list can be used for the email.
Tip: Check this setting carefully if you only want to reach recipients who still meet the selected criteria at the time the email is sent.
Cancel a scheduled email
You can cancel a scheduled email as long as it has not been sent yet.
Open the "Sent item" folder.
Find the scheduled email you want to cancel.
Click the clock icon next to the email.
Click "Cancel email".
The scheduled send will be canceled. The email will then be moved back to Drafts, where you can edit it or schedule it again later.
