Follow the steps below to complete an event check yourself

To ensure that your invitation and registration process runs smoothly, we have created a checklist for you:

Go through the entire invitation and registration process

  1. Send a test invitation: Go to the Mail Module and send a test invitation to yourself and possibly to colleagues. Open your draft by clicking the pencil icon. Click on ‘Select invitees from list’ and choose yourself or a colleague. Select only one person to ensure you're properly testing your own invitation. Then click ‘Test and send,’ and choose ‘Go to test.’ Enter your own email address or that of a colleague.

    Please note: If you enter both your own and your colleague’s email addresses, you will both receive the same test email, containing the information of the selected person.

  2. Check the invitation: Review the subject, salutation, and the date and times you are communicating in the invitation. Click on all buttons and hyperlinks in your invitation to test if they all work properly. Click the 'Register' button and sign yourself up for the event.

  3. Check the registration form: Review the questions for each target group, especially if you are using a customized form with multiple tickets and lists.

  4. Check the registration confirmation:

    1. Review the salutation, date, and times you are communicating. Also, click on all buttons and any hyperlinks.

    2. Click on the calendar item to check if everything is correct:

      1. The event title

      2. The location address

      3. The event URL is correct

      4. The correct date and times are blocked in your calendar.

    3. E-ticket: If you are sending an e-ticket, please check if the content is as desired. Are registration questions displayed on the e-ticket, and you don’t want this? Go to the registration page within the Website Module. Click the pencil icon next to the relevant registration question, click ‘Settings,’ and uncheck your admission ticket(s) under ‘Show this field on the e-ticket.’

    4. Check-in participants:

      1. Activate the check-in app in the Ticket Module.

      2. Set the date of the desired ticket in the Ticket Module under 'Valid on (optional)' to today’s date until the day after the event.

      3. Download the check-in app and log in with the login code. Read more about on-site registration here.

  5. Event website: Check the date, the program, and the other pages of the event website. Also, view the event website from your smartphone to ensure everything is as desired. Tip: to view the event website on your smartphone, you can scan the QR code in the Website Module under Settings.

Additional Points of Attention

Registration Settings

  1. Have you chosen an open registration or a personal registration? Make sure you’ve made the right choice. Read more here about when to use open or personal registration.

    1. For an event with personal registration, it is important that all invitees are listed in the Registration Module. Only the imported invitees can register using their email address or unique code.

    2. If you are using open registration for your event and have imported a list of invitees, check your buttons and hyperlinks in the Mail Module. Always use two buttons: an open registration button and a personalized registration button. Read more here on how to do this.

Having doubts if you used the right button setting? Contact our support before sending the invitation.

2. Closing Registration by Date: Are you closing your registration on a specific date? Then check if you've chosen the correct closing date and ensure the date is not in the past.

3. Closing Registration by Numbers: Have you set a maximum number of participants? Make sure the number is correct.

4. Check whether the guest list page in the Website Module is enabled or disabled. If the guest list page is enabled, your registrations will be placed on the guest list if they give permission in the registration form.

Access Tickets

Check the following settings in the Ticket Module if you have created multiple access tickets or linked tickets to lists.

  1. Verify the following fields:

    1. ‘Start and end date of ticket issuance’; this is the period when registration is open and the ticket can be selected.

    2. ‘Timeslot for ticket scanning’; within this date and time, the e-tickets can be scanned on the day(s) of the event.

    3. ‘Valid on (optional)’; this date will appear in the calendar link.

  2. Have you linked lists to your access tickets? For all access tickets, make sure you've selected the correct list.

Multilingual Event

If your event is set up in two languages, review the entire invitation, registration, confirmation, and website for the second language as well.
